Employee Onboarding

Terms of Service

Last updated: 6 October 2026 · Version 1

1. These terms

These terms are an agreement between Fei Lan, trading as LinkrHire (“we”, “us”), and the business that uses Employee Onboarding (“you”). By creating an account, logging in or buying links, you agree to them on behalf of your business.

Employee Onboarding is for businesses. You confirm you are using it for the purposes of a business.

2. The service

Employee Onboarding lets you send a new employee a link to provide their identity documents, personal details and tax forms, sign your documents, and produce a record of it all (the “Pack”).

  • It is a tool to collect and deliver onboarding information. It is not a long-term employment records system.
  • It does not give legal, tax or immigration advice. Information and checks in the service help you; they do not replace your own judgement.
  • Passport and visa details are read by an AI service and may contain mistakes. You must check them against the original documents before relying on them.

3. Your account

  • You log in with a one-time link sent to your email. Keep access to that email secure.
  • You are responsible for everything done through your account.
  • Tell us straight away at support@linkrhire.com if you think someone else has accessed it.

4. Your responsibilities

  • Only ask employees for information you are allowed to collect, and tell them why you need it.
  • Check each employee’s identity and right to work yourself; you remain responsible under immigration and employment law.
  • Download and keep the Pack yourself. New Zealand law requires employers to keep employment and tax records for at least 7 years. We delete personal details after the periods in section 6.
  • Use the service lawfully, and don’t try to access other people’s information or disrupt the service.

5. How we handle your employees’ information

We hold your employees’ information on your behalf and use it only to provide the service to you. We:

  • keep it secure and limit access to your account;
  • use only the service providers listed in our Privacy Policy;
  • tell you without undue delay if we become aware of a privacy breach affecting your employees;
  • delete it on the schedule in section 6.

6. How long we keep information

SituationWhen personal details are deleted
Onboarding completed12 months after your final confirmation, or after a later update to the Pack (late tax forms confirmed, or a bank account added)
Link voided by you30 days after voiding
Link waiting on the employee with no activity by anyone for 30 daysThe link closes and details are deleted within hours
Onboarding never completed12 months after the link was created

Before a 12-month deletion, we email you 30 days and 7 days ahead. If we can’t reach you by email, the record is still deleted, at most 14 days after its date. Once deleted, it cannot be recovered or downloaded. We keep only the employee’s name, dates, status, the employment terms you entered and the Pack’s reference code.

7. Fees and refunds

  • Onboarding links are bought in advance through Stripe. Prices are shown at checkout.
  • Each purchase can be used for 12 months from the purchase date. Links not used by then expire.
  • When a link is voided before the employee has made their final submission — by you, or automatically under section 6 — it goes back to your available links (if they haven’t expired).
  • No refunds. Purchases are not refundable, except where we stop providing the service, where the law requires a refund, or in special cases we agree with you in writing.
  • As the service is supplied and acquired for business purposes, the Consumer Guarantees Act 1993 does not apply, to the extent the law allows.

8. Availability and changes to the service

We aim to keep the service available but don’t promise it will always be uninterrupted or error-free. We may improve or change features. If we decide to stop providing the service, we will give you reasonable notice so you can download your Packs, and refund the links you have not used.

9. Liability

  • We are not responsible for decisions you make using the service, including about an employee’s identity or right to work.
  • We are not liable for indirect losses, such as lost profits or business interruption.
  • Our total liability to you is limited to the fees you paid us in the 12 months before the claim.
  • Nothing in these terms limits rights you have under law that cannot be excluded.

10. Suspending or closing an account

You can stop using the service at any time. We may suspend or close an account that breaks these terms or puts the service or other people’s information at risk. Your employees’ information is deleted on the schedule in section 6. To have your account details deleted, email support@linkrhire.com.

11. Changes to these terms

We may update these terms. We will post the new version here with its date and tell you by email before a significant change takes effect. Continuing to use the service after that means you accept the new terms.

12. Law

These terms are governed by New Zealand law, and New Zealand courts have jurisdiction.
